Office of the Controller of Examinations is responsible for conducting internal and semester examinations, declaration of results, supplementary examinations and revaluation. The office organizes annual graduation proceedings and has a state-of-art technology in providing a holistic environment to the stakeholders.

Examination Regulations

All students must have a minimum 75% attendance for Arts, Science and Commerce courses (Aided and Self Supporting Streams) at UG, PG and M.Phil levels for both Theory and Practical papers.

Attendance requirement for writing end semester examinations (UG, PG, M.Phil).

4 Detained students for want of attendance < 50% *Allowed to proceed to the next year / next semester of the course and complete the course provided they produce medical certificates issued by the authorized Medical Attendant(AMA), duly certified by the Principal of the college.
*Repeat the semester which they have missed by rejoining after completion of final semester of the course.
*Permission letter to be obtained from University of Madras by paying the fee for the break of study.
5 Condonation of Married women candidates 55% For married women students, condonation shall be relaxed and prescribed as 55% instead of 65%, if they conceive during the academic year.
Medical certificate from a government doctor and the prescribed fee for condonation should be collected from the candidate in order to appear for the examination

A candidate who has secured less than 65%of attendance in the final semester has to compensate his/her attendance shortage in a manner as decided by the concerned head of the department after rejoining the same course. Demand draft of Rs.250/- to be drawn in favor of “The Registrar, University of Madras” towards condonation fee.

Arrears Appearance

a) Any candidate having arrear paper(s) shall have the option to appear in any arrear paper along with the regular semester papers.

b) Candidates who fail in any of the papers in Part I, II, III, IV & V of UG degree examinations shall complete the paper concerned within 5 years from the date of admission to the said course, and should they fail to do so

  • They shall take the examination in the texts/ revised syllabus prescribed for the immediate next batch of candidates.
  • If there is no change in the texts/syllabus they shall appear for the examination in that paper with the syllabus in vogue until there is a change in the texts or syllabus.
  • In the event of removal of that paper consequent to change of regulation and / or curriculum after 5 year period, the candidates shall have to take up an equivalent paper in the revised syllabus as suggested by the chairman and fulfill the requirements as per regulation/ curriculum for the award of the degree.

Exam Fee

Candidates should pay the exam fees in the month of September for odd semesters and in the month of Febraury for even semesters.

Assessment Mechanism

a. Evaluation process is controlled to a large extent by the rules and regulations of University of Madras

b. Evaluation has two components:

  1. Continuous Internal Assessment (CIA)
  2. End Semester Examinations(ESE)

c. Evaluation methods are communicated to students and parents at the beginning of the year by Principal during the orientation programme

d. Subject faculty orients the students on various components of continuous assessment.

e. The weightage of marks is 25% for CIA and 75% for ESE

a) Continuous Internal Assessment

Continuous assessment is carried out by the concerned faculty of the Department through continuous assessment tests, model examination, aptitude tests, quiz, seminars etc. All tests and examination are compulsory for a student

END SEMESTER EXAMINATION

The End semester examination will be a comprehensive examination of 3 hours duration.

Two End Semester examinations are conducted in a year- Odd semester examinations in October/ November and Even semester examination in April/May

Practical examination / Project viva is held 3 weeks prior to the theory end semester examinations

Conduct of Examinations
  1. The End semester examination time-table will be sent as a circular to all the departments for Verification.
  2. If any discrepancy is noticed in the time-table, it should be brought to the notice of the Controller of Examinations for rectification.

    Note: Special attention to be given for clash of exam dates for students taking up arrear and regular exams.

  3. The time-table is subject to change only in case of exigencies or unforeseen circumstances, viz., strike, bandh, sudden declaration of holidays by the government etc. The Controller of Examinations will duly notify the alternate date and time of examination in consultation with the Principal in the event of such exigencies.
  4. Continuous assessment marks for theory and practical papers / Project / summer Project / must be sent to the Controller of Examinations on the specified date or at least two days before the commencement of Theory/practical Examinations. Otherwise, the results will be withheld.

EXEMPTION FOR HEARING AND SPEAKING IMPAIRED AND SPECIAL NEED CANDIDATES FROM STUDY AND EXAMINATION

As per the University of Madras Notification (No. V.3/S.1/Exemption to Disabled /2011-12/484 dt. 19th October 2011) “Hearing and Speaking impaired and Special need candidates who are admitted to all the UG Courses shall be exempted from the study and examination of:

  1. One Language i.e either Part I: Tamil or any other language or Part II English.
  2. Part IV – Non Major Elective or Basic Tamil or Advanced Tamil of all the UG Degree Courses and they shall be declared qualified for the Degree Courses if they pass the other examinations prescribed for the Degree, with effect from the academic year 2008-2009 onwards.
Instruction to Students
  • Candidates should carefully check their respective name, register number, subject codes and sign in the exam application form.If any error found should be brought immediately to the notice of COE.
  • Candidates should collect their Hall-tickets three working days before the commencement of the Examination from the Examination Committee. Check the register number, subject codes and date of examination in the hall ticket.
  • The candidate should produce the hall ticket & ID card to the invigilator in the examination hall.
  • Before starting the examination candidates must verify the relevance of the question paper to their subject.
  • The candidates should write the correct Register Number and Subject code in their answer scripts, failing which, the examination taken by them will be cancelled.
  • No candidate will be allowed to write the examination, if caught indulging in a malpractice during the examination. The examination taken by such a candidate will be treated as cancelled and no re-examination will be conducted for such a candidate under any circumstances. The particular result will be declared withheld.
Publication of Results
  1. Review of the valuation based on a detailed subject wise report of marks obtained only in ESE and in the Total (ESE+CIA) is done by the respective department HOD or by the HOD in-charge. The recommendations of the review committee are scrutinized by the Principal and COE and moderation if needed is done and resolution is passed.
  2. The Passing Board is convened to pass the results and publish the End-Semester examinations results.
  3. The results are uploaded in the college website www.sdnbvc.com.
  4. Gally sheets are distributed to all the departments.

INSTRUCTION REGARDING REVALUATION OF ANSWER SCRIPTS

  1. All candidates undergoing the course of study under the current regulations are eligible to apply for Revaluation.
  2. Students can apply for revaluation after the publications of result within 7 days.
    • Revaluation fees for UG courses is Rs.600
    • Revaluation fees for PG courses is Rs.750
  3. Revaluation is done by another set of external examiners and the revalued marks are incorporated in the results of respective students.
  4. The results of revaluation will be sent to the HOD of the concerned department.
Supplementary Examination Instruction
  1. Final year students ( UG – III year 6th semester, PG- II year 4th semester) are only eligible to apply for Supplementary Examination.
  2. UG-Those students who have only one paper as arrear in the sixth semester alone are eligible for supplementary examination. Those who have arrear in other semester are not eligible to apply for supplementary examination.
  3. PG-Those students who have only one paper as arrear in the fourth semester alone are eligible for supplementary examination. Those who have arrear in other semester are not eligible to apply for supplementary examination.
  4. Supplementary Examination will not be conducted for practical papers and projects.
  5. Students can collect the Supplementary Examination application form from the COE’s office.
Marksheet / Degree Certificate
  1. Marks sheets of the respective semesters and Consolidated mark sheet (for final year students only) of successfully completed students are given to the departments.
  2. Mark sheet and Consolidated marks sheet are printed with seven security features.
  3. Provisionally qualified students database is uploaded through online entry in the University of Madras website in the month of July.
  4. The University of Madras issues provisional and degree certificates.
  5. Mark sheets, consolidated mark statement and Provisional certificates are dispersed to the students by the department faculty
  6. Degree certificates and Rank Certificates are given at the time of convocation.

ISSUE OF DUPLICATE MARK STATEMENTS, CONSOLIDATED MARK SHEETS IN CASE OF LOSS OF THE SAME.

The requisition letter by the student towards issue of Duplicate Mark statement and consolidated mark sheet should be accompanied by the following:

  1. A police certificate (FIR) issued by a police official duly signed by an Inspector or Sub-inspector, mentioning crime and occurrence sheet number and date.
  2. Fee for duplicate mark sheets.
